 MPIOC Volunteer Opportunities and Job Descriptions

MEMBERSHIP TEAM POSITIONS

Member Stats Chair
   • Run member stats monthly & provide results to Director of Member Care and/or VP Membership
   • Prepares ambassador list

Meeting Ambassador Chair
   • Assist with greeting at registration and answering membership questions
   • Walk the networking hour to check in with members
   • Manage 1-2 Ambassador Assistants (when identified)
   •  Run member attendance tracking lists and share with membership team as a whole and recruitment chair

Member Retention Chair
   • Contacts members up for renewal
   • Contacts members who are delinquent in their renewal
   • Prepares thank you letter with scratcher once member renews – gives to VP of Membership

Shining Star Chair
   • Gather Shining Star nominations
   • Follow up with Shining Star winners
        ~ Make sure the winners are posted on website/social media
        ~ Prepares the letters

Member Anniversary Chair
   • Receives anniversary list from Member Stats Chair
   • President thank you email to members with 10+ years of membership or whatever the BOD decides

Greeters
   • Provide a warm, welcome greeting to all guests of our monthly events
   • Take new members or guests of members and introduce them to board members and other MPI members that you know.
   • Engage them in conversation to make them feel welcome.
   • Direct them to MPI MAX event (if applicable) 


EDUCATION TEAM POSITIONS

Monthly Meeting Administrative Coordinator
    • Documentation administrative pre-planning, facilities support, record-keeping, and check list coordinator – direct assist to the MM Director for program logistics to ensure timelines are met pre and, post. (Pre, on site, and Post / 10 hours a month)

Education Content Administrator
   • Supports VP Education and Dir MM in managing speaker contacts, files, and administrative support.
   • Supports managing the calendar and maintaining file records.
   • Supports managed submissions for speaker prospects and identifying possible speakers of interest for VP Education to review and contact.
   • Works in close conjunction with EdCon team to integrate and relay information about speakers contacted, rates, and reviews. (5+ hours a month)

Venue Outreach
   • Manages contact list and researches possible host venues; supports Dir MM in contacting venues and soliciting support to ID possible fits in planning the 18-month calendar (5+ hours a month)

Production Chair
   • Works with VP Education and Dir MM to prepare and execute production needs, including slide preparation and run of show draft as directed by VP and Director; on site speaker contact.
   • Ensures AV needs are met for speakers and distributes on site show plan copies to presenters.
   • Supports at AV tech booth slide advance and cueing, as needed. (Pre & Onsite / 5 hours a month)

Audience Engagement
   • Supports VP Education; in charge of ensuring polling integration (prep) into presentation and on site execution in charge of ensuring polling integration and on site execution and/or managing mic runners for attendee Q&A (Pre 2-3 hours & On-site)

Speaker Liaison
   • Arrives 1 hour before; VP Education with speaker with on site prep, presentation support, seating placement, and on site stage technical issues (water, mic’ed, stage introduction).
   • Ensures lodging and transportation needs have been met (On-site 1-2 hrs pre)

On Site Set Up / Tear Down
   • Arrives 1 hour before and stays for 30 min after to support on site set up needs, including décor or table set up, staging, catering, or handouts/materials needs (Pre 1 hour & on-site)

Vendor Ambassador
   • Supports outreach to supplier and vendor contacts who are candidate for services needed – submit contacts, ideas, and support MPI OC in identifying local suppliers and reaching out for interest
   • Manages the vendor deliverables and confirms on site recognition and program communications requirements
   • Oversees Sponsor Loop slides and sponsor recognition signage files. (5+ hours)

Communications /Photo/ Video
   • Arrives 45 min before. Supporting communications team with on site social media, ensures on site mic runner roles are met if needed.
   • Supports photographer and/or videographer needs and reviews gallery or files prior to member and board distribution.
   • Manage communication schedule pre and post (Pre & Post 3-5 hours a month)

Greeter / Runner (Combined with Membership Team)
   • Arrives 30 min before.
   • Guest welcome / support at registration to direct new members, speaker support, vendors, sponsors to the right on site people (On site 2 hours per event)

Special Activities
   • Supports development and execution of special networking activities if applicable (3-5 hours per month)

Entertainment Liaison
   • Arrives 45 min before. Support any on site entertainment or talent needs – dressing, prep, placement, parking validations, etc (Pre & On site 1+ hours)

Donor Liaison
   • Arrives 1 hour before. On site meet and greet; confirm that all on site requirements are met and welcome them for check-in and proper seating. If drawing gifts or other on site needs are required, attend to them to see that they are met. (Table top set up, signage, drawing items, etc.) Supports Director of SPA and MM Director. (On-site) 


SPECIAL EVENTS TEAM POSITIONS

Marketing Coordinator
   • Creates marketing message and schedule for event including social media, etc.

Special Events Communications
   • Liaison to our sponsors and making sure they follow up in making sure invoices and paperwork is turned into SPA and that logos, etc. are provided for marketing purposes, and follow up with thank you cards/emails to all

Event Management/Logistics
   • O
ur on-site person for each event working with vendors, venue, etc.

Fundraising
   • Will be responsible for the fundraising element of the event

Engagement
   • Responsible for adding a new interactive and engagement element to each of our events


COMMUNICATIONS TEAM POSITIONS

Social Media Chair
   • Work with Director of Social Media to post daily (M-F) content on MPIOC’s social media platforms such as Facebook, LinkedIn, Twitter & Instagram.

PR/Publications Chair
   •  Work with Director of Publications on sending press releases and media content to appropriate press outlets. Work with Director of Publications on the eNews letter with drafting content

Communications/SPA Liaison
   •  Volunteer will serve as a liaison between Communications and SPA to ensure that all marketing/advertising promotions are made aware to the Communications team to ensure proper execution.

Website Manager
   • Monitor the website content to ensure posts are up-to-date. Work with Chapter Office to insure there are no typos, layout is correct, mobile site works, etc. 

YouTube Guru
   •  Upload video clips from our monthly programs to our YouTube site.

APP Manager
   • Ensure content on MPIOC’s monthly programs is shared with Crowd Compass so they can update our App and keep it current.


SPA TEAM POSITIONS (Strategic Partner Alliances)

Chair - SPA Committee
   • MPIOC's Strategic Partner Alliances (SPA) involves the suppliers who provide cash or in-kind donations to the chapter.
   • In exchange, the chapter provides advertising and other benefits to the SPA Partners, which helps them grow their business and connect with their potential customers. These can be both planners and other suppliers.
   • The Director of SPA makes the agreements with the SPA partners. After agreements are made the Chair - SPA Committee will contact them to get their electronic logos and approved banner ads for the MPIOC website. The chair will work with Board members and/or Chapter management to make sure the benefits are delivered on schedule, as per the agreements with the SPA partner.
   • Monthly time involved is about 5 hours communicating directly with the SPA partners, 2 hours communicating with various Board members and chapter manager, and attending one committee meeting per quarter.
   • This is a highly visible position that requires the Chair to work with MPIOC Board members, supplier partners, and committee members.

Chair - Auctions and Donations
MPIOC is expanding its chapter fundraising through more auctions and donations, trying new and unusual auction packages to supplement standard offerings. Our goal is to raise more money, showcase our donors and be known for having the best auction packages.
   • The Chair - Auctions and Donations works closely with the Director - Strategic Partner Alliances and the Director - Special Events. Additionally, the Chair will form a small committee of chapter members who assist in gathering auction items.
   • This important committee will kick-off with a vital brainstorming meeting, at which the new approach to auction items will be discussed and assignments given.
   • The committee may, if requested, work under the direction of the Director – Special Events to help set up auctions on-site and prepare signage.
   • The Chair will keep an up-to-date running total of donated items on the Master List. This list will have item, donor name and company, contact information, method of item pick-up, logo and display material, estimated value, starting bid, and winning bid.
   • The Chair will co-sign thank you letters to the donors, along with the Director - Strategic Partner Alliances and the Director - Special Events.
   • The Chair will formulate attractive “packages” or combinations of donated goods and services, adding themes and clever names when possible.
   • Monthly time involved is about 5 hours soliciting auction packages, 2 hours updating the Master List and 2 hours communicating with the committee and Board members,
   • This is a highly visible position that requires the Chair to work with MPIOC Board members, supplier partners and committee members.

Committee - Auctions and Donations
